Below is a checklist in case you would like to schedule an online event

When are you looking to schedule your event?
- We suggest not scheduling during Finals Week if you have a student audience, nor scheduling right before or after a holiday.
- Think also about how much time you need to prepare for the event (i.e. practice sessions, briefings, etc.) as well as to properly promote the event
- Make sure to look at the SPP internal events calendar below to ensure your event does not overlap with another SPP event. You can also visit http://bit.ly/events-spp

Who are your audiences?
- If your audience is public policy students, you can view the list of public policy courses for the coming quarter to find available times
- If your audience is the general UCR community, you can view events.ucr.edu to find available times

Are you inviting elected officials and/or candidates to speak?
- During election season, we cannot invite candidates on the ballot to speak at the university due to 501(c)3 strictures
- When inviting elected officials, please work with UCR Government & Community Relations

Would you like to utilize the SPP Seminar Series Zoom Webinar license?
- Here are the differences between a Zoom Meeting and Zoom Webinar.
- In order to utilize the SPP's Zoom Webinar license, your event cannot overlap with another SPP event, and you must allow for at least a 30 minutes gap.
- Contact the Marketing Manager for next steps, as he will set up your Zoom Webinar for you.
- Please provide the Zoom email address of the person who will be appointed as "Host" for the event. The Marketing Manager will provide guidance as to how to navigate the Zoom Webinar interface.

Internal Events Calendar
This is the central internal calendar for scheduled and pending events for the SPP and its affiliates, including research centers. To add your event to the calendar please send a calendar invite to spp@ucr.edu. Alternatively, you could notify spp-marketing@ucr.edu so a team member can input the event on your behalf.
When in doubt or if you have other questions, please consult with the Director of External Engagement.
